Which AI Key Is Used

Each AI request uses one key, chosen by the server in this order:

  1. Your own key, when you added one.
  2. Your organization's key: the key of the project's organization, or of your organization when you belong to one.
  3. None: AI features are off and ✦ AI says “Add an AI key in Account → AI keys”.

Account Settings → AI keys and AI Settings show which key your requests use. Organization keys are managed by the organization's administrators; members see only that one exists.

What is sent

  • Only when you use an AI feature: the text the feature needs (for Ask AI: the question, help topics, the project's entities and relationships, the current page and the recent conversation) plus the active AI reference files.
  • It goes from the Holarch server to the provider of the key in use (Anthropic, OpenAI, Google or your Azure OpenAI resource), under that provider's terms.
  • Holarch stores no prompt text and no replies. It records the time, the key, the number of tokens and the result of each request, for usage and limits.
  • Keys are encrypted on the server and never sent back to the browser.

Projects with restricted markings

AI is blocked for a project that is marked CUI, ITAR, EXPORT CONTROLLED, SECRET or similar (in its name, description, documents or diagram title blocks). Such information must not be stored here; see Data You Must Not Store Here.
